HOW THE JUDGING PROCESS IS CONDUCTED

Judging Process 2009:

* Judging Panels in all categories now consist of 4 members to each panel.

* Judges from all four panels (Dance, Theatre, Music and Musical Theatre) will judge eligible shows during the judging period, which is from 1 JANUARY 2009 to 31 DECEMBER 2009.

* All judges must watch a show “LIVE” or by video for it to be eligible for judging.

* Kakiseni will inform the judges of shows to be judged at least two weeks before a show is to begin its run.

* Producers in turn, must inform Kakiseni of shows to be judged at least three weeks before a show is to begin its run.

* Judges must inform Kakiseni of shows they are attending via email or phone contact.

* Each judge must contact the producers directly to organize the one (1) complimentary ticket they are entitled to on the date they will be attending the show Kakiseni will provide full contact details of the producers for the judges’ convenience.

* If a show is unable to provide complimentary tickets, judges should purchase a ticket first, and Kakiseni will reimburse the judges upon production of a ticket stub/receipt.

* Judges are entitled to ask for a copy of programme books from producers.

* Judges must inform Kakiseni immediately if they have an unresolved question, problem, issue with a show they have seen rather than inform us of the problem at the end of the year.

* Judging by video recording has not been eliminated from the Judging Process, however, it will be used only as and when completely necessary. We realise that video judging is not the most conducive way to judge performances which is why we will do our best to keep it to the bare minimum, as far as possible.

* All scores will be tabulated by PricewaterhouseCoopers at the end of the judging year.

* The potential nominees are drawn from candidates/productions that meet all the eligibility criteria and are amongst the top-five scores in the award category.

* In January 2008, the four panels will meet separately to discuss the potential nominees.

* The judges can decide to have a maximum of five (5) and minimum of two (2) nominees per category based on average scores, merit and overall quality of the nominees.

* As always, Kakiseni only plays a facilitating role, and does not determine the list of nominees.

Scoring:

· Judges who are involved in ANY capacity, including family, in a production cannot judge that show. It is the responsibility of the judge(s) to inform Kakiseni of any such involvement.

· In liew with the changes being made to the Judging System, Kakiseni will no longer be involved in the first round of tabulations as has been the practice in past years.

· All scores will from now, be sent directly to PricewaterhouseCoopers by the Judges.

· PricewaterhouseCoopers will tabulate the scores at the end of the judging period . Scores are calculated on an average point system – i.e. the scores obtained by each show (in the various award categories i.e. Best Dance, Best Choreographer, Best Set in Dance) will be tabulated, and divided by the number of judges who attended the said production, giving an AVERAGE score for each award category.

Nominee List:

· In January 2010, PricewaterhouseCoopers will tabulate all the score sheets, and compile a list of the top scoring shows in each award category. The potential nominees are drawn from candidates/productions that meet all the eligibility criteria, have been judged by a maximum of 4 judges, and are amongst the top-five scores in the award category.

· The four panels will then meet separately to discuss the potential nominees. The judges can decide to have a maximum of five (5) and minimum of two (2) nominees per category based on average scores, merit and overall quality of the nominees.  Kakiseni only plays a facilitating role, and does not determine the list of nominees.

· If a judge is involved in any of the potential nominees, they have to leave the room while the award category is discussed. They cannot vote in the entire category.

· Judges can decide not to have any nominees thereby NOT awarding an award for that particular year.

· Any problems, issues with the list MUST be raised at this meeting and not AFTER the nominee list has been finalized and made public at the Nominee Announcement.

· The list of nominees will be announced in February 2010.
